Job Overview<br>
This position is responsible to perform increasingly complex administrative support activities to an individual and/or work group. This position functions with limited supervision. SUMMARY:<br>

The Bill Dickey Scholarship Association Administrative Assistant reports to the Executive Director and is responsible for performing a variety of administrative and staff support duties for the organization, which requires a range of skills and knowledge of organizational policies and procedures.  Assists and directs visitors, and resolves administrative problems and inquires; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents.<br>
<br>
DUTIES AND RESPONSIBILITIES:<br>
<br>
•	Coordinates and performs a range of staff and/or operational support activities for the organization; serves as a liaison with other companies/non profits in the resolution of day-to-day administrative and operational problems.<br>
•	Provides administrative/secretarial support for the office such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquires.<br>
•	Operates personal computer to compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established organizational policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.<br>
•	Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for the Executive Director which may include coordinating travel and lodging arrangements.<br>
•	Prepares or assists with the preparation of scheduled and/or ad-hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed.<br>
•	Assists Executive Director in problem solving, project planning, and development and execution of stated goals and objectives.<br>
•	Administrative Assistant will post, balance, monitor and reconcile monthly ledgers, budgets, and financial reporting system reports; may prepare drafts of budget planning documents (may serve as book-holder and/or paymaster; may manage petty cash disbursements and reconciliation’s).<br>
•	Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the process of data for recurring internal reports.<br>
•	Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of routine written inquiries.<br>
•	Requisitions supplies, printing, maintenance, and others services.<br>
•	Leads and trains lower graded staff and/or student employees, as required.<br>
•	Performs miscellaneous job-related duties as assigned.<br>

MIMIMUM JOB REQUIREMENTS:<br>

A minimum of at least two (2) years of experience that is directly related to the duties and responsibilities specified.<br>

Duties:<br>
•	Maintains a neat & professional waiting area. <br>
•	Must greet clients within 15 seconds.<br>
•	Guides Clients to complete the sign-in sheet process and offers communication to assure the Client that excellent service will be delivered.<br>
•	Ensures that each Client completes a Client Profile & a Client Service Acknowledgement Form.<br>
•	Responsible for answering and routing all incoming calls and assists clients with the purpose of their call by providing information from sources such as tax software, Client file comments, general information, etc.<br>
•	Assigns and maintains temp ITIN/ ID # for clients with no ITIN/SS #.<br>
•	Scans necessary original docs of all TP files, as time permits<br>
•	Responsible for keeping stock of drinks offered to Clients such as coffee, cups, tea, etc. and keep that area sanitary.<br>
•	Responsible for efficient Call Log, recording minimum of 90% of all incoming and potential clients.<br>
•	Responsible for sending/receiving messenger/courier items and the incoming/outgoing mail distribution. <br>
•	Responsible for the Referral Program’s maintenance & procedures.<br>
•	Maintains a central location for Forms, supplies and filing system.<br>
•	Responsible for assisting all Staff with general office requests/duties, when time permits.<br>
•	Other duties, as assigned when time permits. <br>

REQUIREMENTS:<br>

SALARY - <br>

OPPORTUNITY: <br>
The Hospital Coordinator assists locally in the operations of Sound Physicians in providing hospitalist service to Banner Good Samaratin Hospital in Phoenix, AZ. Position is responsible for several administrative functions. Essential functions include: <br>

DUTIES: <br>
• Coordinate physician scheduling for hospital <br>
• Serve as the point of contact between Sound, the hospital and the physicians as it relates to administrative functions (meetings, paperwork, calendar, etc). <br>
• Handle the incoming calls, mail, and faxes. <br>
• Support Chief Hospitalist in team scheduling and distribution activities. <br>
• Schedule meetings and ensure attendance for hospital events. This includes team meetings, hospital committee meetings, and community outreach meetings. <br>
• Room reservation and food service should be provided as appropriate. Also, keep meeting minutes at team functions. <br>
• On-boarding logistics for new physicians (coordinate with Sound and Hospital). <br>
• Schedule physician interviews and related logistics. <br>
• Assist the billing department when records need to be pulled for verification. <br>
• Keep an updated contact list of the doctors and forward appropriate correspondence <br>
• Order office supplies. This includes general supplies, business cards, toner cartridges, and various other items <br>
• Understand and assist doctors with the use of CCIS for entering charges on patients in the hospital. <br>
• Forward billing queries, deficient records notices, and other medical records information to the doctors to keep them current. <br>

EDUCATION: <br>
Minimum Associate's Degree or equivalent healthcare experience <br>
