We are a small, growing electrical contracting company looking for an experienced Office Manager who can be the “Swiss Army knife” of our office. We need a dependable, highly organized individual who understands accounting, electrical service operations, and the importance of keeping jobs, technicians, customers, and paperwork moving.
This is not a basic receptionist position. The right person must have advanced, hands-on QuickBooks experience and be capable of managing the financial and administrative side of a small electrical company with limited supervision.
PRIMARY RESPONSIBILITIES:
• Manage daily accounting and office operations using QuickBooks
• Process payroll and review employee timecards
• Maintain accurate job costing for service work and projects
• Prepare, review, and understand profit-and-loss reports
• Track job profitability, labor, materials, and company expenses
• Create professional estimates, proposals, invoices, and customer statements
• Turn technicians’ field notes into accurate work orders and invoices
• Bill customers promptly and follow up on outstanding balances
• Manage accounts receivable and accounts payable
• Enter vendor bills, purchase orders, receipts, and job-related expenses
• Reconcile bank accounts, credit cards, and financial records
• Communicate professionally with customers, technicians, vendors, and management
• Help schedule and coordinate technicians and customer appointments
• Maintain organized digital and physical job records
• Assist the owner with reporting, planning, and day-to-day business needs
• Identify problems, take initiative, and help improve office procedures
REQUIRED QUALIFICATIONS:
• Advanced, verifiable QuickBooks experience
• Strong understanding of payroll, job costing, invoicing, and accounts receivable/payable
• Ability to create, read, and explain profit-and-loss and job-cost reports
• Experience preparing estimates, work orders, and customer invoices
• Strong Microsoft Office, email, and general computer skills
• Excellent written and verbal communication
• Highly organized, accurate, dependable, and able to meet deadlines
• Self-motivated and capable of working without constant supervision
• Team-oriented attitude and willingness to help wherever needed
• Electrical, construction, or service-contractor office experience strongly preferred
SCHEDULE:
Monday through Friday
6:00 a.m. to 2:30 p.m.
Full-time, in-office position
