Gila Monster Printing is a family-owned local business seeking a dependable Office Administrative Assistant. Although you will be hired through Gila Monster Printing, this position supports the day-to-day office needs of several related family-owned businesses.
This is an all-inclusive office position. You will not be assigned to only one department or one type of work. Depending on what is needed that day, you may be answering phones, updating a spreadsheet, collecting a payment, organizing business documents, following up on an email, helping a customer, or assisting with print production.
This is not a position where you will sit and wait for someone to give you one small task at a time. We need someone who comes to work ready to work, follows instructions, completes assignments correctly, and moves on to the next task without constant reminders.
What You Will Actually Do
Your responsibilities will include:
-Answer incoming calls, take accurate messages, and direct calls to the correct person
-Monitor business email accounts and respond to routine customer and vendor questions
-Enter and update information in Microsoft Word, Excel, online systems, and company records
-Review names, dates, amounts, and other information to make sure entries match the original documents
-Create folders, rename files correctly, scan documents, and organize electronic records
-File and maintain physical paperwork so documents can be located when needed
-Follow up on missing documents or incomplete information
-Schedule appointments, maintain calendars, and set reminders for deadlines
-Greet customers and assist them at the front office
-Prepare invoices, collect payments, and provide receipts
-Track office supplies and reorder items before they run out
-Contact vendors, request information, schedule service, and follow up when work is not completed
-Assist with printing, copying, binding, cutting, packaging, and other basic print-production work
-Check completed print jobs for the correct quantity, size, spelling, and customer information
-Help keep the front office, customer areas, worktables, and shared spaces organized
-Handle administrative work for multiple businesses and keep the information for each business properly separated
-Complete other reasonable office and production tasks as needed

-Can switch between different businesses and assignments without mixing up files, payments, emails, or customer information
-Knows how to use basic Microsoft Word and Excel functions
-Can write a clear and professional email without relying on someone else to rewrite it
-Is comfortable answering the phone and speaking with customers
-Can learn new software, office procedures, and print equipment
-Will ask questions when something is unclear instead of guessing
-Can work independently after being trained
-Understands that small-business office work includes both administrative tasks and hands-on work
