Position Overview
A growing commercial construction company in Mesa, Arizona is seeking a highly organized Job Coordinator to support project managers and field teams throughout the lifecycle of commercial construction projects. This role plays a critical part in coordinating project documentation, scheduling, and communication to ensure projects move efficiently from kickoff through completion.
The ideal candidate is detail-oriented, proactive, and experienced in supporting construction operations, subcontractor coordination, and project documentation.
Key Responsibilities
- Coordinate administrative and operational support for multiple commercial construction projects simultaneously
- Assist Project Managers with project startup, documentation, and closeout processes
- Maintain project files, contracts, permits, and compliance documentation
- Track project schedules, milestones, and deliverables
- Coordinate subcontractor documentation including insurance certificates, contracts, and W-9s
- Process purchase orders, subcontracts, and change orders as directed by Project Managers
- Assist with job cost tracking, invoice processing, and vendor communications
- Maintain accurate project records in project management software and internal systems
- Coordinate communication between project managers, field staff, subcontractors, and vendors
- Support preparation of project reports, meeting notes, and progress updates
- Assist with scheduling inspections, deliveries, and subcontractor activities
- Ensure required project documentation is collected for compliance and project closeout
Qualifications
- 2+ years of administrative or coordination experience in commercial construction or construction-related industries
- Experience supporting project managers, estimators, or field operations
- Strong organizational and multitasking skills
- Ability to manage multiple projects and deadlines simultaneously
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with construction management software (Procore, Buildertrend, or similar) preferred
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Ability to work in a fast-paced construction environment
Preferred Experience
- General office admin experience required
- Good with Excel and Microsoft Office Suite
- Experience coordinating subcontractors and vendors
- Knowledge of construction documentation, RFIs, submittals, and change orders
- Experience with job cost tracking or accounting support
- Familiarity with construction processes
