We are seeking a reliable, organized, and proactive Office Assistant to support our daily operations. This role is ideal for someone with experience in the cleaning industry, field operations, or upper-level administrative or management support, who is comfortable working in the office, communicating with clients and employees, and assisting in the field.
Position Overview
The Office Assistant plays a key role in keeping our operations running smoothly. This position supports office administration, client communication, employee coordination, and on-site assistance when needed. We are looking for someone who can take initiative, communicate professionally, and adapt to a fast-paced environment.
Key Responsibilities
Office & Administrative Support
Answer and manage incoming phone calls, texts, and emails
Assist with scheduling, confirmations, and follow-ups
Organize documents, files, and digital records
Support invoicing, basic reporting, and internal tracking systems
Coordinate with management on daily priorities
Client-Facing Duties
Communicate professionally with residential and commercial clients
Assist with service inquiries, updates, and issue resolution
Support walk-throughs, site visits, and service coordination when needed
Employee Support
Assist with employee communication and coordination
Help with onboarding, training coordination, and documentation
Support timekeeping, scheduling questions, and basic HR-related tasks
Act as a liaison between office staff and field teams
Field Support
Visit job sites for support, audits, or coordination
Assist with quality checks, documentation, or supply coordination
Support supervisors and management in field operations
Preferred Qualifications
Experience in the cleaning, janitorial, or facilities services industry (strongly preferred)
Prior experience in office administration, operations, or management support
Strong communication and organizational skills
Comfortable working with field teams and visiting job sites
Ability to multitask and prioritize in a fast-moving environment
Basic computer skills (email, scheduling software, spreadsheets, mobile apps)
Reliable transportation
Additional Details
Hours: 30–40 hours per week
Start Time: 7:00 AM
Location: North Phoenix (preference for candidates who live nearby)
